The snow removal work order is closed. Can customers actually get from the parking lot to your front door?
That is the question facilities managers still have to answer after the plow leaves. Across a multi-site portfolio, confirming conditions can mean chasing photos, calling store managers, or sending a regional manager out to check a sidewalk.
For snow and ice management, that puts a practical question on the table: how do you check the sites that need attention without sending your own team to every property?
What the winter 2026–27 outlook means for site planning.
Last winter, a major blizzard across the Mid-Atlantic and Northeast affected more than 115 million people with snowfall, roughly one-third of the U.S. population. Approximately 28 million received more than a foot of snow, according to NOAA’s February 2026 recap.
For FMs managing regional and national portfolios, widespread storms can mean multiple sites needing attention simultaneously. Having a resource ready to document conditions and verify snow removal work helps you identify which locations need follow-up when your team is stretched thin.
Whether you have issued snow removal RFPs, awarded the work, or just onboarded new vendors, ProxyPics can support the site verification side of your winter plan.
We deploy data collectors, called Proxies, to document the areas you need checked. Your scope of work is mapped into the app, guiding each Proxy through the required photos and site questions. Geotagged, time-stamped capture gives you verifiable data collected on the ground.
With nationwide coverage, same day deployment where conditions and site access allow, and a pay per order structure, you can fill gaps in site coverage quickly when your field team is stretched thin.

Onboard ProxyPics now, complete your vendor setup, and define your capture requirements before the first storm. You will have an established site documentation vendor to turn to when you need extra coverage.

Document site conditions before the first snowfall
A fall condition report gives you a reference point for the rest of the season. Start with the areas most likely to come up in a service call or spring repair discussion:
- Pavement cracks, potholes, curbs, and wheel stops.
- Sidewalks, accessible parking spaces, curb ramps, and entrances.
- Drainage areas and designated snow stacking locations.
- Landscaping edges, islands, and other features near plow routes.

Use those photos to give a new contractor a clearer view of existing conditions and areas requiring attention. Specifying the same locations and photo angles for future visits also makes seasonal comparisons more useful.
Check snow removal work where it matters to customers
During storms and after service, ProxyPics site visits can document the areas that determine how people move through your property. Your scope can ask for current views of pedestrian routes, entrance approaches, loading areas, and snow piles near drive lanes.
For example, a contractor may report that a retail lot has been cleared, while the store manager reports a blocked curb ramp. A targeted visit can capture the ramp, the adjoining sidewalk, and the route to the entrance. You can send the contractor a specific location and current photos, then order a follow-up visit to document conditions after the callback.

This is especially useful when you are evaluating a new vendor, checking a remote location, or responding to several service complaints at once. You choose which sites need a visit and what needs to be captured.
Match visits to the service windows and areas in your scope of work. A report records conditions at the time of capture, giving you context for vendor follow-up and helping your team prioritize visible obstructions or surface conditions affecting customer and employee access.

Keep the record going into spring
Once the snow clears, revisit the same areas to document pavement deterioration, displaced wheel stops, damaged curbs, and disturbed landscaping.
Compare spring photos with the fall baseline and winter visits to see what changed. That record can support repair scoping and vendor performance discussions, while helping your team distinguish previously documented issues from newly visible damage. Determining the cause of damage may still require further review.
It also gives you useful material for the next snow removal RFP: which sites needed repeat attention, where access problems occurred, and which areas need clearer service requirements.
